Permissions

In most circumstances, the Archives does not hold copyright to the materials in its holdings and, therefore, cannot grant or deny permission to use them. The Archives provides copies of materials in our collections for private study, scholarship, or research, and you may review our polices for reprographic services here. Archives patrons are solely responsible for determining the proper copyright holder and securing permission to publish, quote, broadcast, exhibit or perform that work.

In most cases, the copyright holder will be the Moravian Church in America, an agency of the Church, an affiliate of the Church, or a congregational church. The Archives will provide all available information about the copyright holder of materials found in our holdings but cannot guarantee the accuracy of that information.

Copyright law is very complicated and nuanced. For some basics on fair use and copyright terms, we recommend Columbia University’s Fair Use Checklist, and Cornell University’s Copyright Term and the Public Domain in the United States. Archives researchers can also contact the Interprovincial Board of Communications for assistance.

No commercial uses or publication of our materials are allowed absent specific permission from the Archives. Reproduction and distribution of images on the internet is a form of publication and is, therefore, not permitted absent specific permission from the Archives. Researchers agree to submit a permission-to-publish application to the Archives in order to notify our staff of the intent to publish any material, in any format, from our collections. Publication of any image must be source attributed to the Archives using the below citation format.

Permission for scholarly publication is normally granted, if a reproduction fee is paid and a complimentary copy of the publication is to be sent to the Archives.

Citations

Please use the following format when citing materials from our archival holdings:

[Identification of item, title of collection], Archives, Moravian Church in America, Southern Province.

For example:

Springplace (Georgia) diary, 1801-1803 [German], Cherokee Mission records, Archives, Moravian Church in America, Southern Province.

Permission Fees for Images:

Free:

  • For personal reference and use, with no internet distribution or publication rights
  • For sharing of images on social media with source attributed according to the citation format above
  • For agencies and employees of the Moravian Church, Southern Province, and its affiliates, when used for church work
  • For pre-approved academic and religious publications and for journalistic reporting about the work of the Archives, with a copy of the publication for the Archives

$25 per image per use, plus image showing use for the Archives – for non-commercial publication by a non-profit institution

$30 per image per use, plus image showing use for the Archives – for fixed-site display by academic, religious, and non-profit institutions

$40 per image per use, plus image showing use for the Archives – for fixed-site display by a commercial enterprise

$50 per image per use, plus image showing use for the Archives – for commercial publication by a non-profit institution, or commercial enterprise
